Behavioral Health Intake Coordinator

SUMMARY:

The Intake Coordinator will perfom activities related to the smooth functioning of our busy behavioral health practice.

Review and log all Behavioral Health pre-intake forms, verify insurance eligilibility, and identify a LCHC PCC for these pre-intake patients. 

Check in patients for visits and notify clinicians of a patient’s arrival as a backup receptionist as needed. Schedule/input of patient appointments, verification of patient demographics and insurance information  based on established guidelines and other items to support the behavioral health clinicians, behavioral health patients and the health center as a whole. 

SPECIFIC DUTIES AND RESPONSIBILITIES:

Core Responsibilities:

  1. Respect and maintain patient confidentiality in all aspects of care including use of electronic health information.
  2. Treat all patients and fellow staff in a welcoming and professional mannner.
  3. Demonstrate professionalism by appropriate attire, attendence, attitude and behavior within the department setting.
  4. Contribute to the team effort by supporting all team members and maintaining an open and positive attitude.
  5. Welcome new receptionists / appt clerks to the team by assisting with their orientation to the team and mentoring them as requested.

For Therapy Intakes:

  • Review and log all Behavioral Health pre-intake forms.
  • Process the BH referrals by filtering the appropriate Referral pool in Epic
  • Review all Mass Revs and other insurances for all Behavioral Health pre-intake patients.
  • Document and update all the information in the chart prior to closing the referral
  • Make enrollment appointments as necessary for Behavioral Health pre-intake patients.
  • Identify in Epic a PCC for all Behavioral pre-intake patients.
  • Make PCC appointment for all Behavioral Health pre-intake patients once insurance issues are resolved.
  • Verify demographic and insurance information using EPM, Mass Revs & Web MD, and carrier coverage lists.  Update information in EPM as needed. 
  • Collaborate with the BH Utilization Review Coordinators to get the BH initial appointments authorized in advance
  • Refer patients to enrollment coordinator or other financial assistance source as needed. 
  • Utilize the In-basket messaging function in EHR to notify providers of referrals and appointments.
  • Other duties as needed or as intake procedures change.

For Psychopharm Intakes:

  • Review and log all Behavioral Health referrals for Medication Evaluations.
  • Refer patients as necessary to the Intake Assistant if they do not have a PCC or a therapist.
  • Review all Mass Revs and other insurances for all Behavioral Health patients referred for Medication Evaluations.
  • Make Initial Medication Evaluation appointment for patients once all above issues are resolved.
  • Verify demographic and insurance information using  Nehen, Mass Revs & Web MD, and carrier coverage lists.  Update information in Epic  as needed. 
  • Refer patients to enrollment coordinator or other financial assistance source as needed. 
  • Utilize the tasking function in EHR to notify providers of referrals and appointments.
  • Other duties as needed or as intake procedures change.
  • Other appropriate duties as identified by the Behavioral Health Director.

Reception as a back up:

  • Schedule appointments via online scheduling system.
  • ​Verify and update demographic and insurance data on the cmputer.
  • Greet and process patients, with an emphasis on positive customer service. 
  • Monitor Waiting Room to insure patients are being taken care of in a timely manner.
  • Greet and assist visitors coming into the department.
  • Assist patients with insurance problems/questions with the assistance of enrollment staff.  Continually monitor appointment schedule, acknowledge appointments, cancel and reschedule appointments appropriately.  
  • Answer incoming calls and rout them appropriately.  Take complete and accurate messages, as needed, and deliver promptly to appropriate person.  Regularly review Voice Mail for calls unable to answer in-person or that come in after scheduled hours.  
  • Assist patients if no provider is available to determine seriousness and urgency of patient’s situation and refer to Urgent Care and, if needed, follow protocol for Code Blue/Green.
  • Make outreach phone calls for no showed Intake appointments to reschedule the Intakes
  • Other duties as deemed necessary or appropriate by Supervisor in order to ensure efficient flow of patients through the health center.
  • Attend the BH staff meetings as necessary.

Requirements

QUALIFICATIONS AND EXPERIENCE:

  • History of good attendance and positive work attitude.
  • Minimum of High School Graduate
  • Previous reception and/or clerical support exp., preferably in a mental health or medical setting
  • Proven experience working with a culturally diverse population
  • Ability to work under pressure, with potentially difficult people, maintaining strict confidentiality
  • Bilingual in English and Spanish or Khmer preferred

SPECIAL REQUIREMENTS:

  • Up to date immunizations and annual TB testing is required. 
  • Hepatitis B vaccine and annual flu immunization are strongly recommended. 
  • All necessary vaccines are available at no charge at the health center.
  • Results of inquiry to Criminal Offender Record Investigation (CORI) must be acceptable under health center standards.
